Housemap Privacy Policy

Effective October 17, 2026. Last updated October 18, 2026, when the tool was renamed from Home File to Housemap and moved to gethousemap.com, and added the logbook, private and household links, and email reminders. Updated again the same day for safety dates, equipment cards, the list of pros, handing a file to the next owner, paid link labels, a Cloudflare browser check, receipt photos, the contractor link and Ask this house, and again for documents, rooms and things, value, mortgage and tax notes, household links that can add, and the file health score.

We do not sell your data

We never sell, rent or trade the information you save in Housemap.

Who we are

Housemap is an experimental tool from Handy Circle, Inc., 56 Broad St STE 14252, Boston, MA 02109. It runs at gethousemap.com; the older addresses ai.handy-circle.com and www.handy-circle.com/ai lead to the same tool. Questions about this policy go to hello@handy-circle.com.

What we collect

When you look up a house. The address you type, and the map location of the address if you pick it from the suggestions. We use them to find the state, county and coordinates of the address and, where a state publishes property records that Housemap reads, the public facts about the building: parcel id, street, town, ZIP code, assessment year, use, year built, living area, style, stories, rooms, bedrooms, baths, heating type, units and lot size, as each state records them. Housemap does not show or save owner names.

Details you enter. Where no public record is connected, you can type the year built, living area and home type yourself. These are used for your plan, and if you save your file they are saved marked as entered by you.

When you scan a label. The photo you choose, and what is read from it: the kind of equipment, brand, model number, serial number, the date it was made or an estimate of it, fuel type and capacity.

The plan. The maintenance items Housemap flags for your house, with their priority and category.

When you save your file. The address with its state, county, ZIP code and approximate coordinates, the public facts or the details you entered, which records source was used, your equipment details and recall status, the filter size, warranty end date and name you add to a piece of equipment, the flagged items, the season, the date and time the file was created and updated, a record that you agreed to save it, a random file id that is not tied to your name, and your email address if you choose to add one.

Logbook. If you log jobs on a saved file, each entry is saved with the file: the date, what was done, whether you or a pro did it, the pro or company name and phone number you type, the kind of work, the cost if you enter one, your notes, how often it repeats, and when the entry was added or changed. Do not put anything in notes you would not want a person with your private or household link to read.

Safety dates. If you add them, the year your smoke alarms, carbon monoxide alarms, fire extinguisher and water heater went in, and the dates the dryer vent was last cleaned and the sump pump and GFCI outlets were last tested, or that the house has none. They are saved with your file and shown only with the private or household link.

Documents. Photos and PDFs you add to the Documents section (warranties, manuals, closing papers, inspection reports, permits, receipts and others), with the name and kind you give them, their size and when they were added. They are stored with your file and open only with your private or household link. The owner can remove any of them.

Rooms and things. If you list things in your house, each one is saved with your file: the room, what it is, brand, model, serial number, what it cost, when it was bought, your notes and a photo if you add one. Photos are stored like documents. Housemap does not estimate what anything is worth.

Value, mortgage and tax notes. If you add them, the numbers you type: what you paid and when, what you think the house is worth and where that number came from, the mortgage lender, balance, rate, monthly payment and payoff year, the yearly property tax and the next due date, and your notes. Housemap does not look any of this up, check it or share it with a lender or anyone else. It is shown only with the private or household link.

File health. The score on your file is counted in your browser from what is already in the file. Nothing extra is collected for it.

Receipt photos. If you add a receipt or invoice photo to a logbook job, the photo is resized in your browser, sent to Anthropic's Claude AI service to read the date, total, company, phone number, job and kind of work, and stored with your file so you can open it later. You check and can change every field before the job is saved. Stored receipts open only with your private or household link, never with the public link. Each file holds up to 200 documents of up to 4 MB each.

Contractor link. If you make one, a pro who has it can add one job to your logbook within 7 days: the date, what they did, their name or company, phone number, cost, notes and an optional receipt photo, which is stored with your file. They see only the street, town and state of the house, nothing else in your file, and the link stops working after that one job or when you turn it off.

Ask this house. When you or someone with your household link asks a question, the question and your file are sent to Anthropic's Claude AI service to write the answer: the house facts, town, state and county, equipment, safety dates, plan, logbook (dates, jobs, who did them, costs, notes), the names of stored documents, rooms and things (without photos or serial numbers) and your value, mortgage and tax notes. The street address, email addresses and phone numbers are left out. Questions and answers are not saved. We keep a count of questions per house per day, deleted after two days, to cap it at 20.

Links. A saved file has a public link (the file id), a private link and, if you make one, a household link. The private and household links carry a key that our server checks. Keys are not stored in your file: they are computed from the file id and a secret only our server holds, so the file itself never contains them. When you make a new private link or a new household link, a version number in the file changes and the old link stops working. When you hand a file to the next owner, the private link changes the same way, the household link is turned off, and your email and reminder address are removed from the file and from the reminder list. The house facts, equipment, safety dates and logbook stay with the file for the new owner.

Reminder emails. If you turn on reminders from your private link, we save the email address you give, that you agreed and when, whether you confirmed, which reminders we sent and when, the National Weather Service forecast address for your location, and when you unsubscribed. Reminders start only after you tap the link in a confirmation email. To decide what to send, our server reads your saved file, its logbook and the approximate coordinates saved with it.

Private link by email. If you ask us to email your private link, we send it to the address you type. We keep the date of the request (at most three a day) but not the address, unless it is also your reminder email.

Notify email. Handy Circle pros work in Massachusetts today. Outside Massachusetts you can add your email when you save your file to hear when pros join near you. It is saved with your file and its state and county. We do not email it until pros join near you.

On your device. Your browser keeps a copy of your file and its id in local storage so it is there next time. It also keeps the private and household links you open, with the street address of each, so the My houses row can show them. That list is not sent to us. Clearing this site's data in your browser removes it.

Technical data. Our servers see your IP address so we can limit how many requests one connection makes. Those counts stay in server memory for about ten minutes and are never saved with your file. When you save a file, ask for a plan, scan a label or a receipt, add a document or a thing, save money notes, ask a question, make or use a contractor link, turn on reminders, ask for your link by email or hand over a file, we also keep a daily count for your connection under a code made from your IP address and a secret key, not the IP address itself. Those counts are deleted after two days. Our hosting provider keeps standard server logs. Housemap does not use advertising cookies.

Photos

A label photo is resized in your browser and sent to Anthropic's Claude AI service to read the label. Housemap does not store label photos. Once the reading comes back, the photo is not kept by us. Only the text read from it is kept, and only if you save your file. Anthropic processes the photo under its commercial API terms.

Receipt photos and documents are different: they are stored with your file only when you attach them yourself (or a pro adds one with your contractor link), as described above, and you can remove any of them from your file.

Saving needs your consent

Nothing about your house is stored on our servers until you tick the box and press Save. Looking up a house or scanning a label without saving leaves no file with us.

Who sees it and who helps us run it

  • Anthropic. Photos of an equipment label or a receipt go to Anthropic's Claude AI service to read them, and Ask this house sends your question and your file without the street address, emails or phone numbers. To build the plan, the same service receives the public facts about the house (state, county, town, latitude rounded to about 10 km, year built, size, style, use, stories, units, lot size and home type), the type, brand, year and fuel of any equipment you scanned, and the current month. It does not receive the street address, your name or your email.
  • Google. Address suggestions while you type come from Google Maps. The manual, support and filter links on an equipment card open a Google search with the brand and model or the filter size in it.
  • Cloudflare. Cloudflare Turnstile checks the browser to block bots on every action that changes a file or uses the AI: saving a file, asking for a plan, scanning a label or a receipt, logging or changing a job, safety dates, adding or removing a document, adding, changing or removing a thing, saving value, mortgage and tax notes, asking a question, making, using or turning off a contractor link, household and private links, reminders, asking for your link by email and handing over a file. Cloudflare receives your IP address and signals from your browser for this check, under Cloudflare's privacy policy. After a check passes, our server gives your browser a short pass, made from a code of your IP address, a secret key and a time, so smaller changes from the same connection in the next 20 minutes do not need a new check. Saving a file, AI reads, questions and link or email actions always get a fresh check. The pass is not stored on our side.
  • The U.S. Census Bureau and state records services. The address is sent to the Census Bureau's geocoder to find its state, county and coordinates. Where Housemap reads public property records, the location and street address are sent to that state's public records service to find the parcel: MassGIS in Massachusetts, and the public parcel and tax roll services run by state or regional agencies in Connecticut, New Jersey, New York, Maryland, North Carolina, Florida, the Twin Cities metro area of Minnesota and Utah. The list can change as services are added or removed.
  • U.S. Consumer Product Safety Commission. The equipment brand is sent to the CPSC recalls database to check for recalls. Sometimes your browser asks the CPSC directly.
  • Netlify. Our hosting provider runs Housemap and stores saved files, receipt photos and documents in its storage service.
  • Resend. Our email provider sends confirmation, reminder and private link emails, from hello@send.gethousemap.com. It receives your email address and the content of each email.
  • The National Weather Service. For reminders, the approximate coordinates of the house (rounded to about 10 meters) are sent to api.weather.gov to read weather alerts and the forecast. No name or email is sent.
  • Anyone with your file link. The public link shows the house facts, the plan and your equipment (with filter size and warranty date) to anyone who has it. The logbook, safety dates, stored receipts and documents, rooms and things, value, mortgage and tax notes and your email address are never shown on it.
  • Anyone with your private link. The private link opens everything and can change the file and the logbook. Keep it to yourself.
  • Anyone with your household link. If you make one, it shows the file, the logbook, documents, rooms and things and your value, mortgage and tax notes. It is read only unless you switch it to Can add: then the person can also add jobs, receipts, documents and things, which are marked as added with the household link, and still cannot change or remove anything. You can switch it back, turn it off or replace it at any time.
  • A buyer or anyone you hand the home history to. The printable home history is made in your browser from your file and logbook. It is not sent anywhere unless you print, save or send it yourself.
  • Handy Circle booking. In Massachusetts, when you tap Get it done or Book a pro, the job and address go to the Handy Circle booking page, which the Handy Circle Privacy Policy covers.
  • Paid links. Some product links, such as a filter in your size, may earn us a commission. They are marked Paid link. Opening one sends only the words in the link, such as the filter size, to that site. Housemap does not share your file with it.

We do not sell personal data. We do not share it with advertisers. We may disclose information if the law requires it, to protect people or our service, or as part of a merger or sale of our business, in which case this policy continues to apply to it.

Where it is stored

Saved files are kept in storage provided by our hosting provider, Netlify, in a private store that only Handy Circle can access.

Why we use it

  • To give your file back to you, keep your logbook and let you share it.
  • To improve Housemap, for example to learn what homes need by age, type and area and how well labels are read. Files are grouped by state and county for this.
  • To match homeowners with local pros on Handy Circle.

Housemap sends email only when you ask: a confirmation email and then reminders if you turn reminders on, and your private link if you ask for it. Every reminder has a one click unsubscribe and our postal address. If you add a notify email when saving outside Massachusetts, we may later use it only to tell you when Handy Circle pros join near you, and you can ask us to remove it at any time. Any other use, we will update this page and ask first.

How long we keep it

We keep a saved file while Housemap runs and for up to 12 months after the experiment ends, unless you ask us to delete it sooner. Photos are not stored. Request counts are cleared after about ten minutes.

Your choices

You can change logbook entries and turn reminders off yourself from your private link, or unsubscribe from any reminder email in one click. To see, correct or delete a saved file, or to remove a logbook entry, email hello@handy-circle.com with the file link or the email address you saved it with. We answer within 30 days. You can remove the copy on your device by clearing this site's data in your browser.

Cookies and storage on your device

Housemap sets no advertising or analytics cookies and loads no analytics or ad scripts. It uses only storage that it needs to work, kept in your browser:

  • hf_theme. Your choice of dark or light mode.
  • hc_homefile_id and hc_homefile_v1. The id and a copy of your Housemap, so it is there next time. Written only when you save.
  • hc_homefile_keys and hc_homefile_hkeys. The key from your private link or a household link you opened, so this device opens the file with the same access next time. Written only when you save a file or open one of those links.
  • hf.cookieConsent and hf.cookieConsentAt. Your answer to the cookie banner and when you gave it. We ask again after 12 months.

Third party services load only for a feature you use: Google Maps loads when you type in the address field to suggest addresses, and your browser may ask the CPSC recalls database directly when you scan a label. Our hosting provider, Netlify, sets no cookies for Housemap. Fonts are served from our own site. You can reopen the banner any time with Cookie settings in the footer, and clear all of it by clearing this site's data in your browser. The rest of handy-circle.com has its own banner and its Privacy Policy describes its cookies.

Security

Housemap uses encrypted connections, and only Handy Circle can access the store of saved files. File ids and link keys are long random strings, but anyone who has a link can open that file at that link's level, so treat them like any private link. If a private link gets out, open your file with it and choose Make a new private link: the old one stops working.

Children

Housemap is not for children under 13, and we do not knowingly collect information from them. If you believe a child has used it, email hello@handy-circle.com and we will delete the file.

Law that applies

Housemap is offered from Massachusetts to residents of the United States for homes in the United States. This policy is governed by the laws of the Commonwealth of Massachusetts and the United States. If you live in a state that gives you more rights over your personal information, such as the right to know, correct or delete it, email hello@handy-circle.com and we will honor those rights as that state's law requires.

Changes

If we change this policy, we will post the new version here and change the last updated date at the top.
